3. User Accounts and Registration

3.1 Account Requirements

To use SpeechNote, you must:

• Be at least 18 years of age
• Be a licensed healthcare professional or working under supervision of one
• Provide accurate and complete registration information
• Maintain the security of your account
• Promptly notify us of any unauthorized use

• Maintaining the confidentiality of your login credentials
• Ensuring your account is not shared with unauthorized persons

4. Acceptable Use

4.2 Prohibited Use

You may NOT use SpeechNote to:

• Illegal or unauthorized purposes
• Violate the rights or privacy of others
• Upload malicious software or viruses
• Circumvent security features
• Scrape or mine data without permission
• Create multiple accounts to avoid suspensions
• Share or resell access without authorization

5. Patient Consent and Confidentiality

You are solely responsible for:

• Obtaining appropriate informed consent from patients before recording sessions
• Ensuring compliance with all applicable privacy laws
• Maintaining patient confidentiality in accordance with professional standards
• Anonymizing patient data where appropriate
• Following HIPAA, GDPR, and other relevant regulations

6. Subscription and Payment

6.1 Pricing

SpeechNote offers various subscription plans:

• Monthly subscriptions (billed monthly)
• Annual subscriptions (billed annually with discount)
• Custom enterprise plans (contact for pricing)

6.2 Billing

• Payments are processed securely through third-party providers
• Subscriptions auto-renew unless cancelled
• Refunds are available according to our refund policy
• Price changes will be communicated 30 days in advance

6.3 Free Trial

We may offer a free trial period:

• Trial lasts for the specified period (typically 14 days)
• You will not be charged during the trial
• Cancellation must be done before trial ends to avoid charges

You retain all rights to:

• Transcriptions
• Clinical notes
• Custom templates

By using the Service, you grant us a limited license to process your content solely to provide the Service.

8. Data Processing and Privacy

Your use of SpeechNote is also governed by our Privacy Policy. We:

• Process data in compliance with GDPR and HIPAA
• Encrypt all data in transit and at rest
• Delete data automatically after 48 hours (by default)
• Never use your data to train AI models
• Provide you full control over your data

9. Limitation of Liability

To the maximum extent permitted by law:

• SpeechNote is provided "as is" without warranties of any kind
• We do not guarantee uninterrupted or error-free operation
• We are not liable for indirect, incidental, or consequential damages
• Our total liability is limited to amounts paid in the last 12 months
• We are not responsible for data loss caused by third parties

10. Disclaimer of Warranties

You understand and agree that:

• AI-generated content may contain errors or inaccuracies
• You are responsible for reviewing and editing all generated notes
• The Service does not replace professional judgment
• You must follow your professional ethical guidelines
• We do not provide medical or legal advice

11. Termination

11.1 Your Right to Terminate

You may terminate your account at any time by:

• Contacting our support
• Using account settings
• Upon termination, your data will be deleted per our retention policy

11.2 Our Right to Terminate

We may suspend or terminate your account if:

• You violate these Terms
• You default on payment
• You engage in fraudulent activity
• Your use poses a security risk
• You abuse the Service

12. Changes to Terms
